When is this helpful?

When you would like to create a schedule of audits to be performed for different locations throughout the year.


Step 1: Log in to the admin portal: https://admin.goaudits.com/ on a Desktop. Under ‘Advanced’, select ‘Schedule’.

Step 2: Select Create Schedule from the top right-hand corner of the page and complete the fields displayed.

Step 3: Select the Title and Category of the schedule you want to create, you can also add a description

Step 4: Choose the Company/Department you require and then choose the Audit for the schedule

Step 5: Choose the Locations you want to include for the scheduled audit and then click Next

Step 6: Select the Auditor you want to carry out the scheduled audit and then click Next

Step 7: Choose between the five options of frequency of the audit: Daily, Weekly, Monthly, Quarterly, or Yearly.

-Daily:

-Select a start date for your schedule,

-Select an end date from the two options:

End after x occurrences (end the schedule -after 30 audits have been completed)

OR

Choose an end date from the calendar for your schedule,

Select Time Frame (Time Zone)

-Choose a time frame for your schedule, this is how long the auditor has to complete the audit on that day (Example: can complete the audit between 10 am and 12 pm)

The time zone the schedule is set for will be the Auditor's Time Zone.

If the administrator and the auditor are in two different time zones, the administrator will set the schedule based on the auditor's time zone.

The audit performed will display the time zone of the auditor according to their mobile device.

-Click Next to move on to the next step.

-Weekly:

-Select a start date for your schedule,

-Select an end date from the two options: End after x occurrences (end the schedule -after 52 audits have been completed) or choose an end date from the calendar for your schedule,

-Choose a time frame for your schedule, this is how long the auditor has to complete the audit on that day (can complete the audit between 10 am and 12 pm,

-Choose the days of the week to allow audit to be complete (auditor can complete the audit between Sunday and Monday,

-Click Next to move on to the next step.

-Monthly:

-Select a start date for your schedule,

-Select an end date from the two options: End after x occurrences (end the schedule -after 12 audits have been completed) or choose an end date from the calendar for your schedule,

-Choose a time frame for your schedule, this is how long the auditor has to complete the audit on that day (can complete the audit between 10 am and 12 pm,

-Choose what dates of the month to get schedule (auditor must complete audit on the 4th, 18th and last day of each month)

OR

-Choose what days in the month to get schedule (auditor must complete audit on a Monday or Tuesday of the 1st or 4th week of the month),

-Click Next to move on to the next step.

Step 8: Choose the notification settings to enable for your schedule from:

-Enable email reminder to the auditor x hours before the schedule is due

-Enable email reminder to the auditor x days before the schedule is due

-Add another user to be notified of the schedule, just type in their email address

-Enable schedule lock, once the end date is reached the audit cannot be completed anymore

-Allow users to re-assign/swap the schedule to other users, this can be in the cases the original auditor cannot complete the audit at the scheduled date and time

-Allow users to change the status of the audit

-Allow auditor to complete the audit x days and x hours before the schedule (auditor can carry out the audit 1 day before the scheduled time)

Step 9: Once you are satisfied with your choices select Create to complete the schedule.

From a mobile device, click on 'Import Settings' to re-import the latest changes made in the Admin Portal.
